Frequently Asked Questions

After the deadline, the HEAT Data Team will:

  • Extract eligible Student records and associated Activities from the database
  • Submit student data to the Department for Education (DfE) for matching with the National Pupil Database (NPD)
  • Receive students’ attainment data through the Office for National Statistics’ (ONS) Secure Research Service (SRS)
  • Aggregate successfully linked students’ attainment metrics by Activity Type, Programme Title and Descriptor to produce your KS4 Track datasets

No, to be eligible for the KS4 Track, a Student record must be attached to at least one Outreach/Partnership Activity while in Year 7 to Year 11 at the end of November deadline. That’s because your KS4 Track dataset is aggregated at Activity-level.

Students who have been classified as ‘Expired’ and moved into the Retention Tool will not be extracted from the database nor included in any tracking submissions.
