Frequently Asked Questions

After the deadline, the HEAT Data Team will:

  • Extract eligible Student records and associated Activities from the database
  • Submit student data to the Department for Education (DfE) for matching with the National Pupil Database (NPD)
  • Receive students’ attainment data through the Office for National Statistics’ (ONS) Secure Research Service (SRS)
  • Aggregate successfully linked students’ attainment metrics by Activity Type, Programme Title and Descriptor to produce your KS5 Track datasets

No, to be eligible for the KS5 Track, a Student record must be attached to at least one Outreach/Partnership activity while in Year 12 to Year 13 at the end of November deadline. That’s because your KS5 Track dataset is aggregated at activity level.

No, any records added after the deadline will not be taken into consideration for the current exam year, and unfortunately, we can only access attainment data for one exam cohort at a time. This means that once the student extract for an exam cohort has been taken and sent to the DfE for linking, additional records cannot be submitted for tracking for that exam year.

Students who have been classified as ‘Expired’ and moved into the Retention Tool will not be extracted from the database nor included in any tracking submissions.
