We would like to update the membership on our recent meeting with Jisc regarding the HEAT-HESA Tracking dataset. Jisc explained that changes to the way some fields are collected under the Data Futures model will affect the HESA Track data we all receive. These changes will come into effect from next year, when we are expecting tracking data for students who entered higher education in 2022/23 or earlier. Jisc are working hard to minimise the changes we will experience and also to ensure consistency across our cohort. We will continue to work with Jisc to ensure any changes in methodology can be applied retrospectively across our cohort to enable analysis over time.
Jisc also let us know that, due to this extra work, they anticipate delays in the delivery timeframe for next year’s data. More detail on the changes to the data and the expected timeframe is given below.
Data Futures is a new student data collection model with richer information. The first two years will be based on an annual data return by higher education providers, after that it will be based on two in-year data collections. Jisc will work with us to consider the impact of in-year data collection nearer the time but, for now, they are focussing on the changes in data collection which will affect our next HESA Track, due to be released to HEAT members in 2024.
Jisc are confident that the majority of the data we currently receive will be unaffected and therefore appear to us in the same format as previous years. There are a handful of key fields that may be affected, which are outlined below. We will be working through the detail of these changes with our Research Group when we meet later this year.

There will also be some additional fields which will be included in the tracking data next year. This is not a result of Data Futures, but our work to continually improve the utility of HEAT’s HESA Track dataset for members.

Jisc have previously aimed to provide us with the linked set by April every year. We then spend 4-6 weeks quality assuring the data and uploading it to the HEAT system so that HESA outcomes are attached to the Student record.
Due to the increased volume of work Jisc and HESA are facing during this first year of the Data Futures collection model, they are anticipating delays to our dataset. They have suggested a delay of at least two months, although this is subject to change depending on any unanticipated challenges they face due to Data Futures in other work areas for the team. Our Jisc colleagues have reassured us that they will do all they can to link our data as quickly as possible, but all of their customers are facing these same delays.
Based on the two-month delay estimate, we are now expecting that next year’s tracking data will be uploaded to the system in August 2024. We will of course keep you updated on any changes to this expected timeline.
