- HESA Snapshot and Student Data refresh for the 2022/23 Dataset Year
We are refreshing our HESA Snapshot and Student extract for the 2022/23 Student data that will be submitted to HESA
Owing to the delay to this year’s HESA Track release, we are planning to undertake a refresh of our HESA Snapshot and student extract for the 2022/23 dataset year. This will ensure that we provide the most up-to-date student data to HESA for linking, and also include any HESA Track-eligible Student records which were added to the database after the last data entry deadline in November 2023.
Please rest assured that this refresh will not result in any unintended loss of data, and that we will follow our normal process of tracking all previously tracked students, for updates on their entry and post-entry (i.e. continuation, degree attainment etc) status. This refresh will therefore only have the effect of capturing the most up-to-date version of the existing records being sent to HESA, and any additional records added since November 2023.
Students will only be removed from the HESA Track if they have been deleted from the database since November 2023, or their record has been changed since November 2023 so that they are no longer eligible for tracking. It is important we do this refresh for GDPR compliance, pulling through the most up-to-date records.
To remind you of our process, Students included in the HESA Snapshot and extract are as follows:
- Student record is Complete
- Permission to Track is “Yes”
- Record State is “Current”
- HE Entry Year (2022/23 or earlier)
HESA Snapshot Refresh Timeline
The deadline for checking your HESA Student Tracking dashboards to assess the students who will be included in the refreshed HESA Snapshot will be the end of July 2024.
As per our Data Entry Cleaning Deadline guidance, we recommend checking the Student HESA Tracking tab in the database dashboard to ensure that all students you want to be included in the HESA Track are present. However, for the majority of members it is likely that these will have not changed since they were last checked before the previous extract in November 2023, unless you have made changes to your ‘HE-ready’ Student data on the system.
Next year’s HESA Track
It’s important to note that this HESA Snapshot refresh will not replace the planned HESA Snapshot that will take place for next year’s HESA data (tracking Students into 2023/24 entry).
At this point, we are not anticipating any delays to the next HESA Track and so the snapshot and Student extract will continue according to the usual annual timeline. The scheduled final deadline for preparing all student data for entry and cleaning is the last working day of November 2024.
