
Adhering to standard technical security practise, and following on from last year’s announcement regarding optional database User authentication, we are now enforcing authentication for all accounts as of academic year 2025/26.
Currently, the option to enable email verification has been offered at organisation-level. This has allowed members whose security requirements insist upon authentication to administer this to its User accounts and it has allowed members with a high number of User accounts or a devolved HEAT model to familiarise themselves with the concept.
As of Monday 29th September 2025, all Users, Ambassadors, and Referees will receive an email containing a verification code, which they will need to enter into the verify page, allowing them to login.
For individuals that access any part of HEAT (the database, Ambassador Portal and Referee Portal) more than once a week, this will need to be completed every seven days. For those that do not access the database, Ambassador Portal and Referee Portal weekly, this will require completion each time they login. Please share this information will all relevant personnel.
All feedback we have received thus far around email verification has been implemented, or will be, when we update the system to enforce authentication. The exception to this is the option to receive the code via an alternative medium other than email. We are looking at this now, considering costs and service providers, and aim to provide additional option(s) as soon as we can do so.
