We are delighted to announce the HESA Track data for Ambassadors expected to have enter higher education (HE) between 2015 and 2022 is now accessible on the database for HEAT members whose Ambassador records were included in the post-entry pilot scheme.
Our previous Data Update provides more detail on the delayed HESA Track 2022/23, and explains the restriction to tracking individuals from 2015 entry onwards only. For more information on our work in the post-entry space, please see our Using HEAT to record and evaluate Post-Entry Interventions blog post.
To support members with the final stage of evaluation, analysing impact, we work with external agencies to track individuals longitudinally via the HEAT Track, yielding rich data on their educational outcomes. The HESA Track dataset is a key element of the HEAT service’s suite of tracking data and dashboards, visualised as the ‘Higher Education Data & Dashboard’ in HEAT’s Tracking Diagram.
On behalf of a small selection of our members, we submitted eligible Ambassador records to Jisc for tracking into the HE population as a pilot scheme for the 2022/23 HESA Track cycle.
Your Ambassador HESA Track data can be downloaded via a HESA Track Report in the Reports area of the database (members only), or viewed on the Ambassador record’s HESA tab.
To avoid timeout-related issues, we schedule all requests to generate HESA Track Data to run as overnight tasks. This means that once generated, the HESA Track Data process overnight and will be available to download the following day. Users are able to generate this report at any time, and the system will keep it on hold and schedule it to run in the evening. Each evening, the overnight queue will complete as many HESA Track datasets as possible as possible, and any which have not been processed will be scheduled for the following evening.
Please note: Only Users with the following Roles can run the HESA Track Data: Leads, Lead Lites, Coordinators, Coordinator Lites. Users with Custom Roles will require the permission ‘Create HESA Track Report’ and ‘View HESA Track Report’.
Whilst this 2022/23 cycle release only sees Ambassador HESA Track data returned for a small handful of pilot members, from the next HESA Track cycle onwards (2023/24) we are intending to include all eligible Ambassador records for tracking into the HESA Track.
The criteria for an Ambassador record to be included in the HESA Track are as follows:
We would like to thank those members who joined the pilot to track Ambassadors into higher education for their contribution and support. As we look ahead to track eligible Ambassadors for the membership in the future, we are excited for the potential research opportunities and shared resources this collective data can offer the sector.
